Customer Service Coordinator
Location: Brisbane, Queensland
Industry: Customer Service – Call Centre (Call Centre & Customer Service)
Position: Full-Time
Smile IT is searching for a friendly and motivated Customer Service Coordinator to join our team on a full-time basis in our Tingalpa office.
About the Role:
You will be the first point of contact for our clients, delivering exceptional customer service with a warm and professional manner. You’ll manage a high volume of incoming calls and service requests, acting as the central coordination point for our Service Delivery team.

What You Will Do:
- Manage 30+ incoming client calls daily, delivering a professional and customer-focused experience for all Smile IT clients.
- Triage and escalate requests via phone, email and our ticketing system (HaloPSA), ensuring accurate categorisation and timely action.
- Communicate clearly with clients, providing timely updates and escalating recurring issues or trends to Service Managers.
- Maintain accurate ticket documentation and assist with reporting on call volumes and client activity.
- Provide administrative support to the Service Delivery team, including scheduling dairy management and coordinating requests between teams.
- Use Microsoft 365 tools confidently and contribute to workflow improvements and documentation.
What You Will Bring:
- Previous experience in a similar role, confident managing high-volume client interactions.
- Exceptional customer service and communication skills, especially over the phone.
- Basic understanding of IT service desk workflows and escalation paths.
- Familiarity with ticketing or job management systems (e.g., HaloPSA, ServiceNow, Zendesk, etc.)
- Excellent organisational skills with a strong attention to detail.
- A naturally personable, patient, and empathetic attitude.
- Ability to stay calm under pressure and adapt in fast-paced environments.

Procurement Coordinator
Location: Brisbane, Queensland

You will support our Senior Procurement Coordinator in processing IT software, hardware and equipment orders for Smile IT and our clients. You will maintain inventory records and ensure smooth communication between suppliers and internal stakeholders.

Key Responsibilities:
- Assist in placing approved customer orders and tracking their delivery status.
- Support software licence seat adjustment requests as required.
- Communicate with distributors to confirm order details and timelines.
- Support preparation of customer quotations under guidance.
- Maintain inventory records and reconcile incoming stock with orders.
- Coordinate basic logistic tasks including shipment tracking and documentation, ensuring compliance with Chain of Responsibility.
- Maintain accurate records of purchase orders and supplier communication.
- Assist in updating procurement documentation and inventory logs in line with Smile IT standards.
- Complete procurement tasks and service tickets in line with Smile IT procedures.
- Maintain accurate data in Halo PSA and provide general admin support.
Skills & Experience
- Previous experience in a similar coordination role (procurement or logistics is a plus).
- Basic knowledge of IT software, hardware and equipment would be desirable.
- Familiarity with inventory management and procurement processes.
- Strong attention to detail and a willingness to learn.
- A proactive attitude with excellent time management skills and the ability to prioritise tasks effectively.
- Great communication skills, with the ability to build rapport with suppliers and internal teams.
